Raise Request & Approval Workflow
This new feature provides organizations with a workflow for employee rate changes.
To turn on this this feature for your company, follow the below steps:
- Enable the Rate Change Workflow feature for the company:
Go to Company > Rules & Alerts > Request & Approvals > User Requests > Rate Change. Click the edit pencil icon and select “Allow request” -
Update your organization's applicable User Security Roles to allow Requesting Rate Changes:
Go to Organization Portal > Roles. Find the applicable role and select People > Payroll, and toggle on the “Request Rate Change” -
Update your organization's applicable User Security Roles to allow Approving Rate Changes:
Go to Organization Portal > Roles. Find the applicable role and select Actions > Requests, and toggle on the “Review Rate Change request”
Note - Users with Admin permission and up always have access to request & approve rate change requests.
Copy Employee From One Company to Another
You can now copy employees from one company to another within your organization. This feature is useful when an employee works in more than one company, or if an employee needs to be transferred from one company to another. Instead of having to manually enter the employee's information, the user can just copy the employee.
You can copy an employee directly from the employee list
Or from within the employee profile
Note! only company admins and up have access to copy employees.
Filtered Users Can Now Run Attendance Reports:
Previously if a user did not have access to all employees within the company, they would not have access to the Attendance reports. With this release, filtered users have access to the Attendance reports, and those reports will be filtered to only include the employees which the user has access to.
This allows managers (which typically only have user permission to their direct reports) to run Attendance reports.
Reminder; you can give users access to Attendance reports by enabling the "Attendance reports" in the security Role settings. Company admins and up, automatically have access to all reports.
NY Home Care Wage Parity Module Now Supports Custom Filters
A “Custom Payroll Filter” option has been added to wage parity module. This increases flexibility and allows multiple benefit package options. For example, a benefit can now be added for only a specific set of employees based on any criteria or based on employee selection. As well, same employee could receive a different set of benefits for different duties (visits/shifts).
In addition, the system will continue to ensure that wage parity benefits shall not exceed the wage parity liability. Benefits are applied according to priority order and stop once wage parity requirement have been met.
To set up a custom payroll filter go to: Company > Rules & Alerts > Filter Groups > Add Filter > Payroll.
Added Medical Records "Result" Field
We added a "Result" field to the Medical Record card. This streamlines managing and tracking employee's medical test results.
Rate Code "Explicit" Settings
The Empeon Rate Codes feature enables the ability to pay employees different rates for different positions or shifts. For example let's consider a nurse whose pay rate varies based on the facility, floor, or shift which she or he works. With this setting you are able to setup the applicable rates in the nurse's profile, and the system will automatically apply the appropriate rates based on the payroll/attendance data.
Previous to this release, if the applicable Rate Code was missing in the employee's profile, the system would default to the employee's Base rate. With this release, we added the "Explicit" settings to the company Rate Code setup. If enabled, when the Rate Code is missing in the employee's profile, the system will NOT default to the employee's base rate. Rather, the system will flag (in payroll) that the Rate Code is missing in the employee's profile. This helps to prevent paying employees the wrong rate.
Emailed Alerts Can Now be Filtered by HR Position
The Empeon Alerts feature allows for user to setup and receive emailed alerts for items which require the user's attention. For example, user can setup an email alert for employee's whose licenses or certification is about to expire (in addition to it appearing in the user's dashboard).
With this release, users can filter alerts based on the HR Job Info (i.e. Position). For example, if you would like to be reminded of employee's upcoming employment anniversaries, but only for employees from a specific position/s, you can now do so. Until now the filtering was only based on Cost Centers.
Document Builder - Added Max Character Setting
Text input fields in the Document Builder now have a max character setting where you can specify the maximum character you allow per field.
The Org Chart is Now Exportable
The Organization chart can now be exported, giving you an overview of your organization's hierarchy.
SSN Validations When Adding a Dependent
Now the system will not allow two dependents with the same SSN, as well the system will not allow the dependent SSN to be the same as the employee.
Bug Fixes 🤔
- Fixed issue in ESS Time Off Request where in some scenarios the date picker was not working.
- Fixed issues where in some scenarios when running a backdated payroll the scheduled reports ran for a different check date.
- Fixed issue where the Accruals live report was not exporting properly when grouped.
