Empeon 4.5 Release Notes

Released a new “Notes & Reminders” feature with which users can jot down notes in the employee’s profile with the following settings:

• Set a Note due date & reminder - Set a note due date and get a reminder email on the note due date.
• Add Note followers - Add other users (such as managers) as followers to the note. Followers will get an email notification when they are added to the note, as well as a reminder email on the note due date.
• Set Note privacy - Mark the note as public so all users can view it or leave it as Private so only followers can view it.
• Mark Note as Important - Mark the note as important as applicable.
• Mark Note as Resolved - Mark the note as resolved once the note is addressed or no longer applicable.

Notify Employees via Email when a New ESS Message is Posted

An email notification option was added to ESS Messages. Users can select this to have an email sent to all recipients of the message, informing them to log into their ESS portal to view their new message.

Send Message to Specific Employees

An option was added for users to specify which groups of employees should receive the message.

A new Power Import tool was added for admin users to import bulk data. Use this tool to update multiple employees’ records quickly and easily, including adding new records and changing existing records. Currently, the following import items are available: Employee Training, Employee Job Info, and Employee Medical Records. More import options will be added in future releases.

To import data, go to Actions > Power Tools.

Available Hours Now Accounts for Other Outstanding Requests

The available Time Off hours displayed in ESS now accounts for other outstanding requests that the employee already submitted. For example, if an employee has 40 hours available in their vacation bank, and they submit a time off request for 16 hours, their available balance will immediately reflect that 24 hours remain available for request (previously the available balance was only updated once the requested hours were paid).

Employers will see the same calculation when approving the requests. This gives both the employee and employer a more accurate balance when requesting and approving time off.

Additionally, employees are now blocked from submitting a time off request which exceeds their available balance:

Employer can Delete Approved Time Off Requests

Employers/managers can now delete an approved Time Off request. This can be useful in a case where the employee did not end up taking the scheduled time off, and the employer would like to reverse the request which has already been approved.

Note that only requests which have not yet been applied in payroll can be deleted.

Released a new home page from where users can easily navigate to a particular company, or to a specific module within a company.

Added DBA to Company Navigator

Now when hovering over the company name, users will see the company DBA. Users can also search for a company by the DBA.

Employment Status Card: Employer can now manage codes for Employment Type and Status

You can now manage codes for the Employment Type and Status fields to suit your company’s needs. Go to Company > Employment Status, and select the field you’d like to manage.

New CSV Export Option for Payroll Verification Grids

You can now export to CSV the results of batch verification and preview payroll grids. Previously, only excel export was available.

Comment Field now Available in Labor Distribution Live Report

The Comment field is now available in the column chooser in the Live Labor Distribution Report.

SSN Restrictions Removed for 1099

For non-W2 employees (contractors), you can now enter EIN numbers in the SSN field without the SSN restrictions.

Allow Special Characters in Email Address Fields

Special characters can now be used when filling out email address fields in Empeon.

Preferred Name Field has Extended Character Limit

You can now enter names longer than 15 characters into the Preferred Name field.

Manager’s Info Shows in ESS

Employees can now see in ESS their manager’s email address and photo. The email address is a clickable link.

Fixed: In some scenarios, hard-coded reports were pulling incorrect first and last period dates. This is now fixed.

Fixed: Insurance: Current calculations were including future dependents. This is now fixed.

Fixed: Payroll Audit Results: In some scenarios, payroll audits were listing each result twice. This is now fixed.

Fixed: Job Info Card: When using the edit tool, the card was allowing overlapping dates. This is now fixed.

Fixed: Gross to Net Reports: When running reports for multiple companies, in some scenarios earning codes would pull as blank. This is now fixed.

Fixed: Accrual Banks: When expanding an ended accrual bank to view its details, an error appeared. This is now fixed.

Fixed: Clone Reports- in some scenarios, reports were unable to be cloned to more than one company at once. This is now fixed.
