Empeon + PointClickCare Integration! 🚀 (Beta)
Census data is a critical component of Empeon’s advanced Scheduling module, helping to calculate HPPD and shift budgets. Now, we’re making it even easier with our new integration with PointClickCare! 🎉
With this release, bed census data can be automatically retrieved daily from PointClickCare. When enabled, your census data seamlessly syncs from PointClickCare to Empeon on a daily basis, ensuring timely insights on bed counts and staffing needs—so you can effectively plan schedules and optimize workforce management.
This feature is launching in beta mode. To join the beta program, activate the Empeon integration in the PointClickCare Marketplace, and then submit the following form.
Biometric Login Now Available for ESS!
Employees can now enjoy a faster and more secure login experience with biometric authentication. ESS now supports Fingerprint login for Android and both Face ID and Touch ID for iOS, eliminating the need to manually enter passwords.
To use this feature, employees must enable biometrics on their device and activate Biometric Login in the ESS app (found under Settings).
Scheduling Updates
PTO Requests Now Visible in ESS Scheduling Before Approval
Employees can now see their PTO requests in the ESS Scheduling view immediately after submission, even before approval.
Employees can also cancel their request directly from their schedule by clicking the warning circle on the right of the shift and selecting Cancel Request from the tooltip.
This update provides better visibility and control over PTO requests directly within the employee's schedule.
Improved Scheduling Visibility for Approved Positions
Employees approved to work in a position will now appear in Scheduling under that position’s view, even if it is not their primary position.
Example: A Med Tech (Medication Technician) is approved to work as a CNA (Certified Nursing Assistant) when needed, but their primary position is set as Med Tech. With this update, when viewing the schedule under the CNA position, this Med Tech will now appear as an available employee, making it easier to assign them CNA shifts when necessary.
Add Comments When Posting Open Shifts to ESS
Users can now add a comment when posting open shifts to ESS. The comment will be visible within the open shift in ESS, providing additional details or instructions for employee.
View Shift Details Option Added to Shift Menu
Users can now view full shift details by selecting "View Details" from the three dot menu in the employee's shift. This provides quick access to all relevant shift information.
Warning for Pending Requests Before Closing Attendance
When closing an attendance period, Users will now receive a warning if there are any outstanding (not approved or denied) attendance requests, including Missed Punch, Call Out, or Time Off. A link in the warning will open the Requests and Approvals page in a new tab for review before proceeding.
Enhanced Geofencing for ESS Clock-In
Empeon's Geofencing feature ensures employees can only clock in/out via the mobile app within designated work location boundaries, improving accuracy and reducing time fraud. Previously, the Punch Location Filter had to be set per employee. With this release, a new setting allows geofencing to be enforced for all employees across all company locations, eliminating the need to set up Punch Location Filters individually. When enabled, employees using ESS can only clock in within the geofenced areas of designated work locations.
To enable this setting, navigate to Company > Attendance > Attendance Settings > Restrict Web Clock-ins to all company locations.
Missed Punch Reasons Now Available in ESS
As part of the Empeon Attendance Suite, clients can allow employees to submit Missed Punch requests directly from their ESS timecard. For example, if an employee forgets to clock in, they can submit a Missed Punch request through ESS.
With this release, we introduced Missed Punch Reasons. Clients can now configure a list of predefined reasons, and employees will be required to select a reason when submitting a missed punch request. This improves tracking, accountability, and compliance for attendance corrections.
To configure the reason list, navigate to Company > Attendance > Missed Punch Reasons.
"Once Per Period" Option for Flat Direct Deposit Amounts
Users can now set Flat Direct Deposit amounts to occur once per pay period instead of every check. This provides greater flexibility in managing direct deposit distributions.
Paystub Display Enhancements
Enhanced Display for Excluded Earning Code Hours on Paystubs
- Previously, we introduced the "Exclude Specific Earning Code Hours from Totals" feature, allowing certain earning code hours, such as shift differentials, to be excluded from total hours in reports and paystubs while still being used for pay calculations. With this update:

- Excluded hours are now grayed out on paystubs, making it clear to employees that these hours are not included in the total.
- Excluded hours no longer appear in the punch section of the paystub.

- For earnings without associated hours, the hours will no longer be displayed. Previously, they would appear as 0 hours.
Customizable Sort Order for Earning Codes on Paystubs
Clients can now control the display order of earning codes on paystubs. A new setting, Display Order Priority, is available under Company > Payroll > Earning Codes Settings.
Earning codes with a lower display order value will appear first in the earnings section of the paystub, allowing for better organization and clarity. If no order is set, the system will maintain the existing order, where regular earnings appear first, followed by OT earnings, and within each category, earning codes will be sorted alphabetically.
If some earning codes have a set order and others do not, the ordered ones will be listed first, followed by the rest in the default sorting order.
Reports Updates
Current Base Rate & Salary Now Available in Live Reports
Users can now include Current Base Rate and Current Base Salary in almost all Live Reports. Previously, rate information was only available in the Employee Rates Live Report. This update provides more flexibility in reporting employee compensation details.
Unpaired Punch Report Now Available as a Live Report
The Unpaired Punch report is now available as a Live Report, allowing Users to customize it by adding columns, filtering, sorting, and more.
To access the report, navigate to Reports > Live Report > Attendance > Employee Unpaired Punches.
Include Pre-Processed and Post-Processed Punches in Time Hist Live Report
Users can now include both pre-processed and post-processed punches in the Employee Time Hist Live Report.
To include pre-processed punches, simply enable the "Include Unprocessed Punches" toggle in the report settings.
Dynamic Date Range Now Available for Attendance Reports
Attendance reports can now be run using dynamic date ranges, such as "Last 90 Days".
This feature is especially useful for clients scheduling automated reports, allowing them to consistently pull data for a rolling period (e.g., Last 45 Days) without needing to update the date range manually.
Enhanced Filtering for Schedule Related Reports
The Daily Schedule, Schedule Printout, and Monthly Schedule standard reports can now be filtered by:
- Floor/Unit
- Position Group
- Position
This update provides more flexibility in generating targeted schedule reports.
Payee Reference Number Now Required for Child Support Deductions
When setting up a Child Support deduction in an employee's profile, the system will now require a Payee Reference Number if the deduction code is configured as Child Support at the company level.
The Payee Reference Number is the court case number associated with the child support order. It ensures that payments are correctly applied to the appropriate case.
Enhanced Status & Visibility for Reopened Onboarding Packets
When an onboarding packet is reopened, the status now displays "Reopened" instead of just "Pending," providing clearer tracking. Additionally, the reason for reopening is now visible when hovering over the status.
Email-Based 2FA Removed for Empeon Workforce Users
To enhance security, email-based two-factor authentication (2FA) is no longer available for Empeon Workforce Users. SMS texting is now the sole method for completing the 2FA process.
This update helps reduce security risks associated with email-based authentication, providing a more direct and secure way to verify User identity.

NJ RetireReady & Other State-Mandated Retirement Programs
New Jersey’s RetireReady program requires employers who do not offer a workplace retirement plan to automatically enroll employees into a state-managed Roth IRA. Employees can contribute a portion of their paycheck to this account.
Many states, including New Jersey, partner with Vestwell to power their retirement savings programs. Other participating states include Colorado, Connecticut, Delaware, Maryland, Oregon, Vermont, and Virginia.
Empeon offers a 401K feed integration. Interested clients can enroll by filling out the 401(k) feed setup request form
For those managing the process manually, we added the following two reports to assist with Vestwell employee enrollment and contribution updates:
- State Retirement Employee Census
- State Retirement Payroll Contributions
These reports can be found under Standard Reports in the system.
Copy Payroll and Attendance Audit Settings Across Companies
Users can now copy Payroll and Attendance audit settings from one company to another. Multiple audits can be copied to multiple companies at once.
To do so, select the audits you want to copy, then click "Copy to Another Company."
New Permission Control for Employment Status Card
We have added the "Employment Status" card to security roles, allowing clients to control permissions for this section.
Previously, any User with permission to edit an employee's profile could also edit employment status. Now, employment status has its own permission level, providing more granular access control.
Search by PBJ ID Now Available in Employee List
Users can now search for employees by PBJ ID in the Employee List, making it easier to locate employees using this identifier.
Base Amount Column Added to Real-Time PTO Accrual Calculations
In a previous release, we introduced Real-Time PTO Accrual Calculations During Payroll Processing. With this update, we've added a Base Amount column, which represents the amount that PTO hours were accrued on. This provides greater transparency and detail in PTO calculations.
To add the base amount column, click on the gear icon and select "Base Amount"
Show Password Option Added to Login Page
Users can now toggle password visibility on the login page, making it easier to enter credentials accurately.
Bug Fixes
- Fixed: Previously, if Users uploaded a document and began digitizing it, selecting the 'X' on the digitize overlay would close the form, causing any work to be lost. With this fix, a confirmation window now appears before closing, preventing accidental loss of work.
- Fixed: Previously, the employee link in Payroll Compare was not working. This issue has now been fixed.
- Fixed: Previously, deactivated Job Info codes were still appearing in the dropdown selection. This issue has now been fixed, and only active Job Info codes will be displayed.
- Fixed: Previously, the Employee Rates Live Report did not display all rate decimals. This issue has now been fixed.
- Fixed: Previously, in certain scenarios, the Multiple Rates payroll audit was not functioning correctly. This issue has now been fixed.
- Fixed: Previously, in onboarding, if an employee uploaded a document and then deleted it, the task would still display a green checkmark and allow onboarding to be submitted as completed. However, on the employer side, the task remained pending and could not be reopened. This has now been fixed.
- Fixed: When reviewing employee open shift requests, there was a rounding issue in the budget display. This has now been fixed.
- Fixed: Previously, when Users entered a time (e.g., 2:00 PM) in a text input field on a digitized document, it would incorrectly display as a date. This has now been fixed.
- Fixed: Previously, when creating a new User in an organization with many custom roles, not all roles would be visible. This issue has been fixed by adding a scroll bar.
- Fixed: Previously, in some scenarios when running a report with a custom schedule, the main company was ignored if other companies were included. This has now been fixed.
