Introduction
The Document Share feature within the ESS Admin Tool allows you to send documents to multiple employees at a time within your organization. For you to be able to send documents to your employees, you must have documents uploaded to you Document Library. For more information on how to upload documents to your Document Library, please refer to our article: Adding Documents.
Document Share
To share a document with your employees, navigate to the Document Share tab within ESS Admin: Actions tab > ESS Admin > Document Share.
Then, click the blue button that says, "Share Document".
You will then be prompted to set up the following settings for sharing your document:
- Select Document - Use the dropdown to select the document you wish to send to the employee. The documents available within this dropdown flow from your Document Library, which means if you do not see the document you are looking for; you will first need to add the document to your Document Library.
- Message to Employee - Adding a message to your employee is optional however if you choose to provide one, the message will appear on the notification within the employee's ESS Hub Inbox prior to reviewing the document.
- Share document with - Select which employees you would like to send this document to. You have the ability to share this document with All Employees, or you can select Specific Employees and send the document to a group of employees based on their assigned Cost Center or Job Info. If for example, you wanted this document to be sent to only your direct care staff such as your RN's, CNA's and LPN's, you would select Specific Employees, filter by Position and then select the type of positions you want to receive this alert for.
Once you have the document selected and have chosen the employees you wish to send it to, click "Next" to move on to the confirmation screen.
Click "Send" to officially transmit the document to your employees. The employees will receive an email notification alerting them that a document has been sent. If the document is digitized and requires acknowledgement from the employee, the notification within the employee's ESS Hub Inbox will say "Action Required".
